How to Give Your LLM App Email Capabilities
Why LLMs need email tools
Large language models are increasingly used as the brain of autonomous agents that interact with the real world. An LLM that can analyze data but can't share results is limited. An LLM that can draft an email but can't send it requires human intervention for every communication. Adding email as a tool to your LLM application unlocks powerful workflows: automated reporting (LLM analyzes data and emails insights), customer communication (LLM drafts and sends personalized responses), alert systems (LLM monitors conditions and emails stakeholders), and workflow automation (LLM completes tasks and notifies relevant parties via email).
Defining email as an LLM tool
Both Claude and GPT support tool use (also called function calling) — you define tools the LLM can invoke during a conversation. Define a send_email tool with parameters: to (recipient email), subject (email subject line), body (HTML or plain text content), and optionally cc, bcc, and reply_to. The tool description should clearly explain what it does and when to use it: 'Send an email to a specified recipient. Use this when the user asks you to email someone or when you need to communicate results externally.' The LLM will generate the tool call with appropriate arguments, and your code executes the actual API call.
Implementing the email tool handler
When the LLM invokes the send_email tool, your code receives the parameters and calls AISend's API. The handler should validate inputs (check email format, enforce recipient allowlists), call the AISend API with the validated parameters, return the result to the LLM (success with email ID, or error message). Keep the handler simple and focused — validation, API call, response. Complex logic (template selection, scheduling) should be separate tools the LLM can compose. Safety guardrails for LLM email
Unrestricted email access for an LLM is dangerous. Implement these guardrails: recipient allowlists (only send to pre-approved addresses or domains), content review (log all LLM-generated emails for human review, at least initially), rate limiting (cap the number of emails per conversation or per hour), human-in-the-loop (require user confirmation before sending, especially for external recipients), and audit logging (record every email the LLM sends, including the conversation context that led to it). Start restrictive and loosen controls as you gain confidence in the LLM's behavior. It's much easier to relax guardrails than to recover from an LLM sending inappropriate emails.
Advanced patterns: email workflows
Once basic email sending works, build higher-level workflows. Give the LLM a check_email_status tool that queries AISend's API for delivery status — the LLM can then confirm delivery or retry failed sends.
